REPORTING


As part of their acceptance of Aggie Green Fund monies, all grantees agree to meet Aggie Green Fund Advisory Committee (AGFAC) reporting requirements. Major Grants and Micro Grants have separate reporting requirements that are detailed below. Grantees who do not meet reporting requirements in a timely manner are ineligible to receive further funding.

Major Grant Reporting

All projects must have a mechanism for evaluation and follow-up after funds have been dispersed. At a minimum, grantees must submit a progress report every semester and a final report within 30 days of concluding the project. The Progress Report and Final Report templates include specific progress questions, a budget outlining how all funds have been spent, a Scorecard update to track project metrics, and high-quality project photographs. If a project is expected to have on-going benefits such as annual cost savings, in the initial application the grantee should have included a mechanism for tracking, recording, and reporting these benefits back to the AGFAC.

Photo Requirements

A minimum of two photos are required for progress reports with an option to submit up to five. A minimum of five photos are required for the final report with an option to submit up to 10. Photos will be used for our website, social media, annual reports, presentations, etc. and must be high quality photos.

Photographs should tell the story of the project by depicting the installation of equipment, the transformation process (before, during, and after photographs), and/or campus community members using the improvement(s).

  • Individuals appearing in the photograph should agree to be photographed with the understanding these photographs may be used in AGF materials.
  • Photographs should be free of any commericalized branding except the Texas A&M University brand, the Aggie Green Fund brand, and/or the brand of the equipment being installed. This includes ensuring those individuals in the photograph are not wearing t-shirts with large logos etc. Any props should comply with this requirement as well.
  • Photographs should be taken - when possible - with enough space in the final image to be cropped to fit the website and/or other materials. If for example, you are photographing the installation of a piece of equipment, be sure to include a shot with the equipment centered in the frame. with enough space to each side for the final image to be cropped either in landscape or portrait format. Avoid panoramic and square photographs.
  • Submit photographs of the highest quality possible in either jpg or png format.
  • To ensure quality shots, we recommend taking several shots from different angles and selecting the best for submission.
  • Consider the lighting. When necessary use a flash. When possible avoid having people squinting into the sun. When possible avoid harsh shadows.

Submitting Reports

The Aggie Green Fund uses the WizeHive grant management system for all project documents. All reporting documents must be submitted through their respective WizeHive forms. Every semester reporting is due, grantees will be emailed the appropriate WizeHive link for report submission.

Micro Grant Reporting
